When you reply to email messages in Outlook, sometimes it's faster and clearer to type your responses directly in the original message body. This allows you to easily add comments, questions, or suggestions directly alongside the specific text you're referring to. Here's a step-by-step guide on how to annotate emails in Outlook:
Step 1: Enable Inline Commenting
To enable inline commenting, open Outlook and click on the "File" menu > "Options" > "Mail" tab. Under the "Replies and forwards" section, check the "Always reply with inline comments" checkbox. This will add a "Comment" button to the message ribbon when you open an email.
Step 2: Add Comments
To add a comment, open an email and place your cursor next to the text you want to comment on. Click on the "Comment" button in the message ribbon. A comment box will appear where you can type your annotation.
Step 3: Send Annotated Email
Once you've added all your comments, click on the "Send" button as usual. The recipients of the email will see your comments inline, making it clear which parts of the message you've responded to.
